The electronic employment record book, introduced in 2021, contains digital data on hiring, transfers, dismissals, and other changes related to employment.
As he notes on his website According to the Pension Fund of Ukraine, information from the paper employment record book, which was the main document on a person's employment, may be digitized before January 1, 2004. After that, information on all periods of employment will be stored in the information system of the Pension Fund of Ukraine.
Important!
The insurance period is calculated based on the data of the personalized accounting system, and for periods before its implementation - on the data included in the register of insured persons of the State Register of Compulsory State Social Insurance on the basis of documents, in particular, digitized documents containing information on periods of employment.
You can submit an employee's work record book for digitization online, including while abroad. To do this, you need to scan all the pages of your employment record book that contain entries.
Requirements for scanned copies
- made in color from original documents;
- contain clear images of full pages and all details (title, series and number, date of issue, seals, signatures, name of the owner);
- saved in JPG or PDF format;
- the size of each file does not exceed 1 MB;
- recommended scanning quality - 300 dpi (for high detail).
Algorithm for online submission of scanned copies
Step 1. On the web portal of the Pension Fund of Ukraine (go to via link), log in with a qualified electronic signature (QES) or Diya.Signature and click the «Login» button.
Step 2. In the «Communications with the Pension Fund» section, select the «Information on labor relations» tab.
Step 3. Fill in the general information about the person (if it is not automatically pulled up) and consent to the transfer and processing of personal data.
Step 4. Attach scanned copies of all completed pages of the employment record book in chronological order and click the «Sign and send to Pension Fund» button.
Step 5. The results of the processing of the application can be found in the section «My appeals».
